Overview

The International Centre for Trade and Sustainable Development (ICTSD) occupies a distinct and vital place among international NGOs. It is a corporate, governmental and NGO partner that enables, facilitates, and support knowledge building and networking for policy development. As such it acts as a platform for facilitation as well as a research repository for a highly diverse range of actors seeking to make use of ICTSD’s analysis, research, and networks to assist their more effective engagement around trade and sustainable development. ICTSD’s work since 1996 has resulted in a rich portfolio of projects, conference results and electronic resources. ICTSD collects and organizes much of this material on its website, and from there, its constituents connect with the organization’s publications and activities. Program and Publications teams engage energetically in their own areas to expand ICTSD’s reach and effectiveness ICTSD man

To better meet its communication, collaborative research, and events and dialogues, ICTSD intends to adopt Salesforce. Salesforce will replace use of Excel data, an earlier and now dormant Access database as well as other ad-hoc tools.

Adoption will follow emerging standards for NGO/nonprofit use of Salesforce as well as requiring configuration and customization for ICTSD. This memo assumes use of technical resources for the initial configuration. Salesforce excels at providing lead users the ability to develop administrative mastery without deep programming skills and the initial process will provide opportunities for lead ICTSD staff to develop self-sufficiency for the long run.

Project Goals

Coordinate with ICTSD project team on reviewing CRM Framework and Roadmap planning documents prepared as part of a Spring-Summer 2011 technology assessment project and refine and adapt for implementation.

Advise and provide assistance on appropriate nonprofit/NGO licensing levels for ICTSD staff team. Advise on Salesforce add-on Apps that will support ICTSD’s goals.

Unified contact management across multiple program areas in ten policy areas of for sustainable development. ICTSD engages in a range of activity, including publications, events, social media, and general email and web communications

Oversee migration and deduplication of individual and institutional contacts. This will include assessment of the current lists and data assets and reaching consensus recommendations on how and what to migrate. While ICTSD previously had a Microsoft Access contact management database, data now primarily resides in multiple Excel spreadsheets and email documents. Data will need to be separated out into contacts, organizations and affiliations. One time deduplication will likely be a challenge!

Create mechanisms and workflow for a more uniform approach to organizing events, including back end support in Salesforce and over time, integration with web functionality for participants.

Realign email list management to operate from within Salesforce. ICTSD presently used Vertical Response for email

Develop appropriate management for program leads as well and analytical reports for ICTSD management.

Provide multi-level training to program staff, managers and system administrator.

Likely Specific Features

Configure Salesforce Enterprise edition with the Nonprofit Starter Pack for management of Contacts, Organizations, Affiliations, and Relationships.

Create appropriate user profiles and other sharing model configurations for program and other teams.

Configure appropriate fields for expressing contact interest and engagements in ICTSD program and publications areas

Customize support for managing ICTSD events and initiatives: defining events, managing invitations, registrations, participations, and post-event evaluations. Initially, we envision data collection to take place largely through staff activity within Salesforce combined with email list communication. Guidance in creating Salesforce email templates and workflows for event management

Ensure multi-language support (English, Spanish, Portuguese, French, Russian, Chinese, Arabic ) in event communications for ICTSD’s regionally oriented program teams.

Reconfigure ICTSD’s Vertical Response or a suitable replacement for management within Salesforce. This will include program team communications, specific event communications, as well as general communications.

Basic Grants Management for grants that ICTSD applies for and receives.

Ensure staff ability to effectively track email and phone communications with key constituents

Optional or Follow-On Phase Features

Integrate on-line event management (almost all events are free), for registration and conference communications

Provide means for constituents to manage their profiles and communications preferences

Publications subscriptions management. At present, publications are provided at no cost, yet subscription is required. Over time publications delivery will evolve to a mix of on-line, emailed and print.

Social media tracking and management using Salesforce basic social media tools; recommendations for add-on enhanced tools may be appropriate. First priority here will be for linkedin.com

Assistance in configuring Outlook and mobile contact management tools for Salesforce

Consultant Attributes

Experienced Salesforce consultant well versed with nonprofit CRM best practices and proficient in data migration and clean-up

Ability to coordinate a project with a geographically distributed team with limited self-starting database technology time and capacities.

Ability to coordinate with web and social media manager and/or additional consulting resources for eventual integration requirements.

ICTSD is based in Geneva with some staff in regional locations. Consultant should discuss extent to which work can be done remotely versus on-site, particularly for data migration and training.

Provide focused training and mentoring to staff toward goal of uniform standards and practices for contact and event management

ICTSD Fellowships are awarded through a competitive selection process. Eminent policy experts, Academics, Scholars, and others with a deep interest in trade and sustainable development policy research, debate and implementation from any region of the world are invited to apply.

Successful applications demonstrate high quality academic qualifications, professional experience and excellent personal character, and fellows, upon appointment, join our collegial circle from their country of operation. ICTSD enjoys strong collaborative partnerships with numerous inter-governmental agencies, research institutes and universities in developed and developing countries, and an excellent international network of mentors, advisors and collaborators. Successful candidates become a member of small community of trade and sustainable development experts, as one of the few Fellows that the ICTSD is able to appoint for two year renewable terms. The key to a successful fellowship is a strong convergence between the applicant’s specific research interests and/or focus of endeavour, and the ICTSD’s evolving research priorities, publications and activities.

The Application Process is straightforward. Applications for Fellowship can be submitted by October 01 and February 01 of each year, and if successful, a candidate is given a two year appointment that is open to renewal. A Fellow may be appointed as a Senior Fellow, Senior Research Fellow or a Research Fellow, at the discretion of ICTSD. Further information is provided below as to the respective qualifications and expectations of each of these roles. An ICTSD Fellow is not required to move to Geneva in order to become a Fellow, as candidates are accepted from the countries and myriad political and legal systems in which they are based. Preference is given to ICTSD Fellows who are based in think tanks, universities or international institutions affiliated with the ICTSD. Under usual conditions, all candidates that have been short-listed for a fellowship will be contacted within four to six weeks following the application deadline.

ICTSD Fellows (Senior Fellows, Senior Research Fellows and Research Fellows ) are associates of the ICTSD and are engaged in the ICTSD’s programme of activities or areas of interest. They conduct research, write or edit publications, and provide peer review and advice for staff members and other associates of ICTSD in their areas of interest. They can also lead or be involved in specific ICTSD projects, events or activities, as agreed with the Chief Executive of ICTSD.

* Senior Fellows are usually renowned and eminent experts or notable persons in the field of trade and sustainable development. They hold excellent internationally recognised levels of expertise, backed by superb academic and professional credentials, and have a history of engagement with these issues at the highest international political levels. They have many years of experience in international policy related to sustainable development, and collaborate closely with ICTSD Chief Executive and other Senior Fellows, on specific research and projects in their fields and in the promotion of the mission, strategic direction and profile of ICTSD.

* Senior Research Fellows are acknowledged experts in the field of trade and sustainable development, holding excellent academic and professional credentials including a record of relevant publications, and can demonstrate a specific interest in trade and sustainable development, particularly in the areas of current research and undertaking within the ICTSD. Senior Research fellows are expected to engage actively in supporting the Centre in the development and implementation of its research agenda through active collaboration with the Chief Executive and the Programmes Director.

* Research Fellows are in possession of a graduate degree in law, economics of international policy/relations and are often pursuing future academic research or a further degree. They have a demonstrated research interest in close alignment with the strategy, research agenda and activities of the Centre. Research fellows are expected to collaborate with the Programmes Director and Programme managers of ICTSD in furtherance of mutually beneficial research interests, and a joint publication process. They have the opportunity to work closely with ICTSD staff and associates in a number of highly respected academic institutions and thinktanks around the globe.

To apply for an ICTSD Fellowship, (see the conditions and privileges of fellowship below), submit a cover letter and CV by October 01 or February 01 of each year to the ICTSD. It is helpful to include a biography in the cover letter of the application.

Privileges of an ICTSD Fellow:
The ICTSD is based at the International Environment House, 7 ch de Balexert, CH 1219 Chatelaine, Geneva, Switzerland, a centre for the co-location of non- and inter-governmental institutions committed to global economic governance and sustainable development. An ICTSD Fellowship grants the selected Fellow limited access to a work station at the offices of the Centre, library access, meeting space, research assistance and other privileges as resources permit. ICTSD will facilitate consultations with other Fellows and staff of ICTSD, and will grant Fellows access to an extended network of international advisors, academics and legal experts in the area of international sustainable development and trade. No financial remuneration can be provided by ICTSD for Fellows at the present time, and thus Fellows obtain funds from external sources or develop new ICTSD projects if their work is to be sponsored.

Contributions Expected from a ICTSD Fellow:
The ICTSD will expect a Fellow to take part in the research and activities of the Centre. ICTSD will also expect a Fellow to demonstrate respect for the mission, principles and objectives of the ICTSD, including its policies and decision-making structure. In addition, a Research Fellow should involve economic, law international policy and other students in their work where this is relevant and helpful to the Fellow’s research interests, should acknowledge their fellowship in any communications or publications related to the work they undertake in the context of their association with ICTSD, and if travelling to Geneva, should undertake minimum cooperative obligations that are involved in participating in an office environment.

Successful applicants will have familiarized themselves with the ICTSD’s mission, principles, objectives, structure, annual workplans, publications and research programme agendas, by consulting the documents online at www.ictsd.org prior to submitting an application.
